We offer both home oversight and concierge services.
Homeowner's Responsibilities
• Supply two (2) full working sets of house keys, and one (1) mailbox key and car keys (if applicable) at set-up appointment.
• Additional key pick-up and drop-off are charged at the hourly rate.
• Add Hearth Tenders to alarm contact list, and supply alarm access codes.
• Unplug all electronics within the home.
• Turn off water to appliances (i.e. clothes washing machine, dishwasher, hot tub, refridgerator, etc…). During the winter months the homeowner needs to insure that outside water is turned off.
• Empty perishable goods from refrigerator, freezer and pantry.
• Supply a list of all service people, including contact information and schedules (i.e. landscapers, housekeepers, etc…).
• Supply an emergency contact number for someone to act on your behalf.
• Contact information for the homeowner at all times
(phone, cell-phone and e-mail)
• In the event the homeowner plans to be out of reach for an extended period of time, they need to make Hearth Tenders aware of their return date.
Should a problem be detected on your property while in our care, we will first try to contact you for instructions. Should we not be able to contact you, we will arrange for service people from our list of vendors to correct the immediate problem.
Hearth Tenders maintains a list of preferred service providers that will be called upon at no additional charge. However, if the homeowner chooses to have Hearth Tenders utilize outside service providers an administrative fee of 20% will be added to your invoice. (Administrative Fees cover all the time spent securing, arranging and overseeing these service companies.)
A petty cash account will be set up to handle any expenses or services that require payment, both preauthorized and emergency. The balance of the petty cash account will be reimbursed to the Homeowner within thirty (30) days of the termination of services date. In the event there is no petty cash account, Hearth Tenders will settle any billing, and will add an administrative fee of 20% to the total, which will be included in your next invoice.
Services that are booked on weekends and scheduled holiday dates are billed at two (2) times the regular rate.
Holiday dates include:
• New Year’s Eve (December 31)
• New Year’s Day (January 1)
• Memorial Day
• Independence Day Holiday (July 3- July 5)
• Labor Day
• Thanksgiving Weekend (Thursday Sunday)
• Christmas Holiday (December 24 December 26)
Upon receiving notice from your alarm service company of alarm activation on your property, a special visit will be made to your property. The interior will be thoroughly checked after the police have done their inspection of the outside area. Between the hours of 9PM 7AM, two (2) times the hourly rate will be charged for this service. Daytime alarm activation response will be charged at the regular hourly rate.
After any severe storm in your area, a special visit will be made to assess any possible damage to your property. This inspection is charged as a Standard House Check.
Should the homeowner return without giving Hearth Tenders 48 hours notice of their return and a property manager makes a scheduled visit, the homeowner will be invoiced for that visit.
Invoices are sent out on the 1st of each month via e-mail. Payment is due by upon receipt. Any accounts with a past due balance on the 25th of the month will be assessed a $25 late fee. Either party must give a thirty (30) day written notice in order to terminate services. All checks returned for insufficient funds will be charged an additional $35 NSF fee.
Start-up fees will include first and last month standard house check payment, and the establishment of a petty cash account.
